You’re busy. Who isn’t these days? Right! But as a real estate professional and entrepreneur who wants to run a profitable business, live a fulfilling life off the job, and possibly play mommy, wife, or girlfriend, too, your plate may be more loaded than most. 2019 will no doubt be just as busy as last year. It doesn’t have to be as chaotic though. It could be much more profitable too!
I’ve come up with my favorite tips to help you improve your productivity while reducing stress, so your busyness can breed results in the form of maximum profits in less time during the new year.

10. Upgrade Your Tech
If your technology has become slow or ineffective over time, it’s likely costing your business time, energy, money, opportunities, and clients. Upgrade your technology one system at a time as needed before it’s too late, whether that’s buying a new phone, laptop, or printer. Stop settling for less. Your business deserves more!

Utilizing a digital task list enables you to prioritize your tasks and projects with ease. It also helps you effectively and efficiently manage your tasks. Here are some other great benefits of digitizing your task list:

8. Refrain From Multitasking
No matter how demanding your workload is, multitasking’s not the answer. It risks your most valuable asset of time because it’s a complete lie! You’re not capable of doing two activities at once and doing them both well. No one is. When you think you’re multitasking, you’re actually just switching back and forth between tasks rapidly, neither of which receive your full attention. When you buy into the lie of multitasking, you’re condemning yourself to feeling overwhelmed, inaccuracies in your work, and poor communication with others. Being efficient requires you to focus on a single task, then move on to the next.
7. Organize Your Work Space
Visual clutter is distracting and overwhelming. Whether your workspace is your office, car, or kitchen table, if it’s a hot mess, it’s almost impossible for you not to be a hot mess. An organized workspace enables you to focus on the task at hand, decreases the time it takes to complete activities, helps you find needed items quickly, and portrays a high level of professionalism.
6. Take Periodic Breaks
Working through breaks is counterproductive. Take occasional breaks so you can return to work with a fresh pair of eyes, increased energy, renewed focus, and tackle your tasks at your best. A break can be any activity that relaxes you, re-energizes you, or relieves stress, such as eating a healthy snack, stretching, taking a brisk walk, reading an industry magazine, or making a personal phone call. Schedule at least a couple of breaks into your workday for increased productivity.
5. Process Emails
According to research by the Radicati Group, business email users receive and send an average of 44,000 emails per year! It’s highly likely you lose emails, information, and opportunities as a direct result of receiving so many emails if you fail to act upon them. Checking emails as they come in, scanning them, and leaving many to deal with “later,” or perhaps “cherry picking” which emails to respond to, results in a cluttered, poorly managed inbox. Stop checking your emails and start processing them twice a day during scheduled blocks instead.Take one of the following actions on each email for successful processing: delete, forward (delegate), reply/then file or delete, file (keep), or schedule (create task).
4. Say NO
According to Warren Buffett, “The difference between successful people and unsuccessful people, is that really successful people say no to almost everything.” Let’s get real. As a driven real estate professional, you likely say yes to way too much, overcommitting yourself to activities that draw you further from your goals instead of propelling you toward them. Eliminating non-essential activities is necessary to free yourself up to spend your time on your high-priority activities and that often means having to say no. Saying no to others’ requests of your time is like saying a giant yes to your own priorities.
3. Block Your Time
Time blocking is a powerful strategy to promote focus that involves allocating chunks of time to completing a specific task or project. If you don’t utilize time blocking, you may never “find the time” to complete some of your high-priority task and projects. Plan out periods of 60 – 90 minutes on your calendar, label them, and hold those appointments with yourself sacred. Show up on time and follow the rules of no phone calls, emails, internet surfing, or other distractions. For time blocking to work, you must fully commit to the process.
2. Clearly Define Your Goals
As Stephen Covey says, “You must begin with the end in mind.” That statement holds true for every project you undertake and goal you set out to achieve. If you don’t know where you’re heading, every shiny object/project/opportunity/app/program will look like a reasonable thing to spend your time on. Steer clear of getting sidetracked by setting goals, aligning your activities to match, and staying focused on achieving them.

Productivity is quite simply investing your best time (blocks of focused, energized, distraction-free time) into your best activities (the actions necessary to achieve your goals). You’re not born productive, nor are you born unproductive. Productivity is a choice. It’s about choosing to consistently engage in the activities that bring you closer to achieving your goals and vision of success, and anyone can do it!
